Privacy Policy

PropFlow ("PropFlow", "we", "us") provides property-management software used by property-management companies, student-housing operators and short-term-rental operators (each an "Organization"), and by the residents, guests, owners and vendors those Organizations work with. This policy explains what information we collect, how we use it, and the choices you have.

1. Information we collect

Account information: your name, email address, phone number and login credentials (passwords are stored only as secure hashes).

Records entered by Organizations: properties, units, leases, reservations, maintenance requests, messages, documents and related records that an Organization enters or generates while managing its portfolio. The Organization controls those records; we process them to provide the service.

Payment information: payments are processed by our PCI-compliant payment processor. Full card and bank numbers are never stored on PropFlow's servers.

Usage information: log and device data such as IP address, browser type and pages visited, used for security and to operate and improve the service.

2. How we use information

We use information to provide and operate the service; to send service communications you have opted into, such as maintenance updates, rent reminders and community announcements by email or text message; to provide support; to keep the service secure and prevent fraud and abuse; and to comply with law. We do not sell personal information.

3. Text messaging and mobile information

If you opt in to text messages, we use your mobile number solely to deliver the service messages described in our Terms of Service.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never sold or shared with any third party, except with service providers acting on our behalf solely to deliver those messages.

You can opt out at any time by replying STOP to any message, and get help by replying HELP or contacting us.

4. When information is shared

We share information only with: service providers who process it on our behalf and under our instructions (hosting, payment processing, text-message and email delivery, and similar infrastructure); your Organization, where the record belongs to it (for example, a maintenance request you file is visible to your property manager); and authorities where required by law or to protect the rights, safety and security of PropFlow and its users. Every Organization's data is isolated from every other Organization.

5. Security and retention

Data is encrypted in transit, sensitive credentials are encrypted at rest, and access is scoped by role. We retain information while an account remains active and as needed to meet legal, accounting and dispute-resolution obligations, then delete or anonymize it.

6. Your rights and choices

You may request access to, correction of, or deletion of your personal information by contacting us or, where the record is controlled by your Organization, through that Organization. You can opt out of text messages by replying STOP and manage notification preferences in your account settings.

7. Children

PropFlow is not directed to children under 13, and we do not knowingly collect personal information from them.

8. Changes to this policy

If we make material changes, we will update this page and revise the date above. For significant changes we will provide additional notice in the product or by email.
